The short answer
For Dubai exhibition enquiries, separate reusable display hardware, blank printing materials and finished graphics. Give exact dimensions, quantities and approved finish references, and state who supplies artwork, printing and assembly. Confirm the event receiving arrangements and final delivery commitment before treating a supplier quotation as part of the event programme.
What to include in your quotation request
| Requirement | Details to provide |
|---|---|
| Display hardware | Approved stand or frame reference, dimensions and quantities. |
| Print materials | Substrate, finish, dimensions and printer-approved compatibility. |
| Artwork scope | Artwork owner, proof approval and finished-print responsibilities. |
| Event logistics | Receiving point, packing labels, access windows and required date. |
Decide whether you need materials or finished displays
An enquiry for a banner can mean blank media, a printed graphic, a stand mechanism or a complete assembly. Describe the deliverable for every line. If you already own reusable hardware, provide its exact reference and the graphic dimensions confirmed by your production team. AAMA's range includes printing and branding materials; printing, artwork, installation and other services need separate confirmation rather than being assumed from the category name.
Confirm production compatibility before purchasing rolls
Your print provider should approve the substrate and material requirements for its equipment and intended application. Provide those specifications to the supplier without replacing them with a broad description such as glossy vinyl. Identify roll or sheet dimensions, finish and quantity. If a substitute is offered, have the production team review it and decide whether a sample is necessary before committing to the event's full requirement.
Control artwork and proof revisions
Assign one person to approve the final artwork or production proof. Keep the approval date, file revision and relevant material reference together. A material sample approval does not necessarily approve the printed artwork, and a digital proof does not establish the final physical finish. Ask the production provider to explain what each approval covers. Send only the files needed for the agreed scope and avoid mixing outdated versions into the same request.
Make the event delivery instructions specific
Provide the confirmed Dubai receiving location and any access instructions supplied by the organiser. Separate delivery to your office from delivery to an event site, and clarify who handles assembly, removal or storage. Label packages by stand or display reference so your team can identify them quickly. Ask for a written availability and delivery confirmation; the event date alone is not evidence that goods can be supplied in time.
