The short answer
For an Ethiopian construction project, request building materials from UAE suppliers using a numbered bill of quantities, approved specifications and a delivery-phase schedule. Keep dimensions, grades, units and quantities on each line. Ask suppliers to identify deviations separately, then obtain project approval before ordering alternatives. Include the destination city and the required handover scope.
What to include in your quotation request
| Requirement | Details to provide |
|---|---|
| BOQ reference | Project line number, description, drawing or schedule revision and purchasing unit. |
| Material specification | Dimensions, grade, finish, performance requirements and approved reference. |
| Project timing | Required phase, approval deadline and date needed at the agreed delivery point. |
| Receiving plan | Package labels, count method, inspection contact and handling constraints. |
Turn the project BOQ into a buying schedule
A construction bill of quantities may combine material, labour and installation in one line. A material supplier needs the supply component separated. For example, a completed wall finish is not the same purchasing description as a quantity of paint or wallpaper. Ask the project team to identify the actual materials, units and accessories required. Keep the original BOQ reference beside each purchase line so your Ethiopian site team can reconcile the quotation with the tender or approved design.
Separate structural requirements from appearance choices
Treat a required engineering specification as a requirement, not an optional preference. Your responsible designer or engineer should approve technical substitutions. For finishes, record the sample code, texture and colour reference where available. Photographs alone can be misleading because screens and lighting change appearance. When tile, flooring or paint selections must match across rooms, flag that relationship and ask how batch consistency will be addressed in the proposed supply.
Avoid quantity errors between pieces, packs and area
A quotation may price sheets by piece, flooring by pack, pipes by length and finishes by area. Keep both the project quantity and the supplier's selling unit visible. Ask the supplier to explain conversion factors and pack contents. The project team should determine any cutting or installation allowance. Do not add the same allowance twice when a BOQ quantity already includes it. A simple unit column can prevent a seemingly low quote from being compared with an entirely different quantity.
Plan approvals and staged purchases together
Large material lists often contain items that cannot be released at the same time. Separate confirmed requirements from selections awaiting consultant approval. Ask whether pricing and availability apply to the whole order or only the currently approved lines. If purchasing in phases, identify which finishes need continuity between deliveries. Obtain written confirmation for any reservation or staged-supply arrangement; a quotation does not itself mean stock has been allocated to the project.
Check packing against the receiving environment
Fragile sanitary products, long profiles, surface-sensitive panels and heavy tools have different handling needs. Tell the supplier which items need identification by floor, room group or work package. Ask for proposed packing details and clarify who arranges unloading and inspection. A packing list should let the receiving team connect cartons or bundles to the purchase references. Agree how shortages or visible damage will be recorded and reported under the order terms.
Prepare the export enquiry without assuming import approval
State the Ethiopian destination and ask for the supplier's delivery scope in writing. Have the importer or broker check product-specific import and documentation requirements before purchase. AAMA can review enquiries covering construction materials, pipes and fittings, hardware, flooring, paint and related products; the exact offered range and commercial arrangements are confirmed per enquiry.
Buyer questions
Can I send a tender BOQ to AAMA?
Yes. Include the relevant material specifications and identify which lines require supply only. Mark the current revision and any unresolved selections.
Can a UAE supplier choose an equivalent material?
A supplier can propose an alternative, but your project team should approve its suitability before purchase. Keep deviations clearly recorded.
Should my quantity include waste?
State whether it already includes your project allowance. The responsible installer or project team should calculate the required amount.
