What should a building-material RFQ include?
Include the item reference, material description, dimensions, grade or rating, quantity, unit and required finish. Link each relevant drawing or schedule to the correct line. State the destination, project phase and whether equivalents are acceptable. A clear request for quotation helps separate the product requirement from assumptions about installation, transport or accessories.
Use the right measurement for each material
A quantity is useful only when its unit is clear. Pipes may be specified by length, fittings by piece, sheets by size and count, and finishes by area or container size. Avoid switching units between the BOM and quotation. State whether your quantities include project allowances. Your project team or installer should confirm the final quantities; the supplier should not have to guess wastage or installation requirements from a drawing.
Pipes and fittings: identify the complete connection
Record pipe material, outside or nominal diameter as applicable, wall thickness or required rating, length and connection type. For fittings, identify the configuration and every connection size. A bend, reducer or tee needs more than a general diameter description. Include any project standard as a requirement to be checked, and specify whether matching seals, fasteners or connection accessories form part of the order.
Wood, hardware and finishes: avoid visual-only specifications
For wooden sheets, list material type, thickness, sheet dimensions, grade and surface finish. For locks or hardware, include the application, measurements, finish and fitting requirements. For paint, flooring or wallpaper, provide a colour or product reference and the intended surface or environment. Photographs help explain an enquiry, but they do not replace dimensions or an approved sample when an exact match matters.
Mark drawing revisions and approval points
Use one current revision of the material schedule and identify it in the enquiry. If a drawing changes, show which line items are affected. Mark products requiring sample approval, a technical data sheet or written project acceptance before purchase. An alternative should be reviewed against the project requirement, not accepted simply because its description sounds similar. Keep approved changes visible in the final order list.
Check the full supply scope
Ask the quotation to distinguish the materials from delivery, unloading, installation and any other requested services. For fragile, long or heavy items, discuss packing and handling requirements. State whether you require one delivery or staged supply. Before placing an export order, agree the destination and responsibilities for transport and documentation. Product availability, lead times and commercial terms need confirmation for your particular list.
Send a reviewable BOM
Put each material on its own line and attach supporting specifications where needed. AAMA Trading LLC accepts building-material and mixed-category enquiries for local UAE supply and export. Use the quotation form to share your BOM, destination and requested timing. Identify the lines that are urgent and the questions still awaiting project-team confirmation so that your enquiry has a clear starting point.
