The short answer
Compare supplier quotations against one agreed item schedule. Match specifications, quantities and purchasing units before comparing prices, then record accessories, proposed substitutions, delivery scope and warranty responsibilities. AAMA Trading LLC accepts mixed material and device enquiries from its Sharjah base for local UAE supply and export; availability and commercial terms are confirmed in the quotation.
What to include in your quotation request
| Requirement | Details to provide |
|---|---|
| Item match | Your item reference beside the proposed make, model or material specification. |
| Quantity basis | Required quantity, purchasing unit, pack size and total supplied quantity. |
| Scope differences | Accessories, delivery, unloading, installation and other inclusions or exclusions. |
| Decision record | Approved alternative, unresolved question, validity date and responsible reviewer. |
Build a comparison that survives a product substitution
A low total is useful only when the offers cover the same requirement. Start with your original BOM rather than copying the layout of whichever quotation arrives first. Give every line a permanent reference. Keep the requested specification and proposed specification in separate columns so an alternative cannot silently replace the original requirement. Ask suppliers to mark any variation explicitly, including changes to model, finish, dimensions, condition or included accessories. The person responsible for the project should approve those changes before price becomes the deciding factor.
Normalise packs, metres and complete sets
A quotation for ten boxes cannot be compared with ten pieces until the pack quantity is clear. Cable may be priced per metre or per reel; hardware may be priced per piece, pair or complete set. Use a separate column for the total quantity supplied in the unit your team actually needs. An illustrative order for 120 fittings might be offered as 12 packs of ten or five packs of 25. The second offer includes five extra fittings; record that difference rather than treating both offers as identical quantities.
Keep delivered cost separate from the item price
Record delivery, handling and any separately quoted services in their own rows. State the intended emirate and receiving location, because an offer for collection is different from an offer including delivery. Clarify building access, unloading arrangements and staged deliveries where relevant. Applicable tax treatment and charges should be shown explicitly by the supplier; do not infer them from an unlabelled total. For an export order, use the agreed delivery point and responsibilities when comparing offers.
Separate technical approval from commercial acceptance
A purchasing team can compare item references and commercial scope, while the responsible project or IT professional confirms technical suitability. Keep both decisions visible. For example, a networking device may match the requested port count but omit a required management feature or licence. A light fitting may look similar yet require different mounting components. Record the unresolved issue, the evidence needed and who can approve it. This prevents a price approval from being mistaken for a compatibility approval.
Send one consolidated clarification request
Instead of several messages containing different revisions, issue a dated clarification list referencing the original item numbers. Ask for a revised quotation showing accepted changes and remaining exclusions. Retain the previous version for comparison, then use only the accepted version when issuing the order. Send AAMA your schedule, delivery location and required date through the quotation form. Mark exact-match items and acceptable alternatives so our response can address the requirement clearly.
Buyer questions
Should I select the lowest quotation total?
First check that the offers cover equivalent goods, quantities and delivery responsibilities. Resolve specification and scope differences before comparing totals.
Can AAMA quote several categories in one request?
Yes. Send an itemised list covering the materials and devices required, with units, quantities, specifications and destination.
Are all proposed alternatives automatically acceptable?
No. Have the responsible buyer or project professional approve any change and record the accepted reference in the final order.
