Buy a complete approved requirement, not a reader alone
A reader or biometric terminal is only one part of an access-control arrangement. Ask the responsible installer to prepare the required component schedule for each door and identify any shared equipment. Use distinct references for locks, controllers, readers and accessories rather than a single line labelled access control. The installer must determine the appropriate design and any applicable safety or building requirements. This guide helps organise a purchase; it does not prescribe how a door system should be wired or operated.
Document the existing system before requesting additions
When extending an office system, provide the existing platform and relevant model references to the responsible installer. Ask them to confirm what a proposed addition must support. Similar-looking terminals can use different management software or connection arrangements, and a standalone device may not integrate with an existing system. Request manufacturer documentation for the actual proposed model. Keep the written compatibility confirmation with the procurement record instead of relying on a general description such as compatible with most systems.
Make licences and recurring requirements visible
Ask whether software, user capacity, device capacity or features require separate licences or ongoing subscriptions. Record what is included at the initial purchase and what the office must maintain later. Clarify who creates the administrator account, performs configuration and hands over the agreed documentation. Device price alone is not a complete comparison when another offer includes different software entitlements. Confirm the applicable terms with the relevant provider before committing to the purchase.
Keep employee information out of the quotation request
A supplier can usually review a device enquiry using quantities, model requirements and a system description. Do not attach employee biometric records, passwords or live access credentials to a sourcing BOM. The organisation responsible for the deployed system should decide how personal information is handled and what policies or approvals apply. If a demonstration is required, agree an appropriate test arrangement with the installer rather than sending operational access data with a commercial enquiry.
Separate sourcing from commissioning and maintenance
List supply, installation, configuration, testing, training and maintenance as separate scopes. Ask each party to confirm its responsibilities and identify who will resolve a compatibility or setup issue. For replacement devices, record the existing reference and the installer-approved replacement specification. Send AAMA the component list, quantities, destination emirate and required timing. Our quotation should identify the proposed goods and agreed commercial scope; additional services must be expressly confirmed.

A photograph can help identify the appearance, but the exact model and installer-confirmed requirements are needed to assess a replacement.
Does a device quotation include installation?
Only if installation is expressly included in the accepted quotation. Ask for the supply and service scopes separately.
Should I attach employee records to my enquiry?
No. Provide product requirements and quantities, not biometric records, passwords or live credentials.
