Explain what you need to source
Start by stating whether your requirement is for material supply, finished printed items or another deliverable. For each line, include the intended use, material specification, dimensions, finish, quantity and destination. AAMA Trading LLC welcomes printing and branding material sourcing enquiries; the exact product and any requested processing or service must be confirmed in the quotation.
Match the specification to the application
Describe where and how the material will be used. Indoor display, outdoor signage, packaging and promotional use place different demands on the product. Identify the required substrate, thickness or weight, surface finish and colour reference where known. If you need advice on material options, explain the application and mark the specification as open for discussion rather than treating an unknown material as approved.
Use dimensions and units consistently
Provide finished dimensions and clarify whether they refer to individual pieces, sheets, rolls or a completed display. For roll products, specify width and required length. For cut items, state the size and number of pieces. Keep different sizes or finishes on separate lines even when they belong to the same campaign. Identify any tolerance or fitting requirement that must be checked before the order is accepted.
Clarify compatibility and finishing
Where materials will be used with existing equipment, provide its relevant model or process requirements. Confirm compatibility with the material manufacturer or responsible production team before purchase. List any requested coating, adhesive backing, cutting or other finishing separately. Avoid assuming that a material quotation includes design, artwork preparation, printing, installation or display hardware unless those items are explicitly included.
Set an approval point for appearance
An on-screen image is useful for explaining a concept but does not establish a final physical colour or finish. Where appearance is critical, discuss a sample or other agreed approval method before ordering. State who approves it and which specifications the approval covers. If alternatives are proposed, compare their material, finish and intended use as well as their price, and record the approved choice.
Plan quantities, packing and destination
State whether the quantity is a one-off order or split across several sizes and delivery phases. Explain any packing requirements needed to keep surfaces protected or identify separate project batches. For an export enquiry, include the destination country and city and discuss transport responsibility and documents with the quotation. Availability and delivery timing are order-specific and should be agreed in writing.
Send a concise material schedule
A simple spreadsheet with item references, descriptions, specifications, dimensions, quantities and approval notes makes the enquiry easier to review. Attach it through the AAMA quotation form in PDF, Excel or CSV format, up to 8 MB. Add your destination and required timing, and distinguish mandatory requirements from preferences. We can then discuss the sourcing scope and the details needed for a quotation.
